Whether you’re a veteran business traveller, or about to embark on your first ever business trip, it never hurts to be organised and learn new ways to prepare and really make the most of your business travel. As business travel experts at Gray Dawes, we know exactly what you need to do when preparing for your business trip!
Book Your Trip in Advance
Whether you’re booking with a TMC such as Gray Dawes, or booking your own trip, be sure to plan your trip as soon as you get notice you’ll need to travel for business. Not only will this give you the most time to prepare, but you’ll also have more options to choose from for accommodation and transport.
If you’re travelling internationally, especially to a country you’ve never visited before, it’s important to do your research and find out whether you’ll need any vaccinations. Be sure to do this research far in advance, as some vaccinations can take a while to take effect and for your body to build up anti-bodies. Also double check your records – you may think you’re fine if you once had a vaccination for typhoid, for example, but the immunisation actually only protects you for 10 years. So, it’s vital to do your research!
If taking regular medication is part of your daily routine, then you’re probably used to having to be organised with your prescriptions. If you’re planning on going abroad for business though then you’ll need to be even more organised. We advise passengers to take into consideration any unexpected events, such as your luggage going missing or your trip being extended for a number of reasons. For these reasons, it’s a good idea to have some contingency plans in place!
Recap and Share Your Itinerary
Once your business trip has been planned, and you’ve considered every single aspect, make sure you put together an itinerary. If you work with a TMC, like Gray Dawes Group, you’ll receive an itinerary from your travel booker. We then advise that you share this with either your PA, or Manager, so that someone is aware of your plans and knows where you should be at particular times, in case they need to get hold of you.
Prepare Your Documents
Depending on where you’re travelling to on your business trip, you’ll require different documents. Your passport will be essential no matter where you go abroad, so make sure this is up-to-date and keep an eye on your renewal date if you’re required to travel on a regular basis. Your TMC should remind you of this. If you’re travelling to a country which requires a VISA, there can be individual rules which apply, so make sure you check in advance.
Prepare Your Currency/Card
Consider how you want to carry your currency – there are such a wide range of options available to travellers now. Whether you want to stick to taking physical currency with you, or if you’re a regular traveller you may find apps such as Monzo or Revolut handy – they are banking apps which will send you a physical debit card which you can use in any country, which no additional charges.
If you’re travelling for business, we always advise to pack minimally! Only bring what you really need, and you’ll find your trip less stressful with less belongings to lug around.
Now you’re ready to go – enjoy your trip!
