Head of Events


Scope of Role and Responsibilities

Due to recent growth and development, we have an opportunity for a Team Leader within our Venue Find department. The role is based in our Colchester office with regular travel required to our other offices across the UK. Strong destination and venue knowledge along with experience of managing a team is required to fulfil this role.

– Line management, training and development of a team including appraisals and regular one to one’s

– Identifying and managing resource to ensure workload priorities and SLA’s are met

– Devising / Revising operational policies and procedures to increase performance levels

– Supplier selection suggestions and coordination including rate negotiations

– Key assistance in developing client briefs

– Overseeing the venue find budget, identifying upsell opportunities to ensure KPI’s are delivered

– To ensure all venue find invoicing and other aspects of finance is accurate and up to date

– Reporting from Cvent

– Booking of group reservations through Cvent, and other systems

– Recruitment into the team as required

– Supporting the sales team and Head of Events on pitches when required

– Work with all Gray Dawes offices and spend time in each, particularly where we have a venue find team

Additional Duties

– Building strong relationships with clients to ensure business retention

– To ensure that all administration, both internal and external is of the highest standard

– To develop and maintain effective working relationships with colleagues

– To be able to work flexible hours and travel when necessary

– To increase productivity

– To ensure all events processes are accurate and up to date

– To ensure all SLA’s and KPI’s are consistently met

Competencies and Skills

– Strong administration, communication and attention to detail skills

– Comprehensive understanding of venue find, group accommodation and event management (operational and financial)

– Comprehensive understanding of Cvent RFP tool and reporting capabilities

– Extensive venue and worldwide destination knowledge

– Ability to balance and effectively prioritise a heavy and pressured workload to meet deadlines

– Strong supplier network

– A creative approach to problem-solving

– Ability to identify upsell opportunities

– Comfortable and capable with negotiation

– Self-starter and team player

– A passion for the Events Industry

– Can-do attitude

Experience and Qualifications

– A minimum of three years venue find experience is a must

– Team Management including running appraisals and regular one to one’s

– Team Performance and development

– Experience of using Cvent RFP tool

– Managing clients with a proactive and consultative approach

– A proven track record in delivering group projects
