Scope of Role and Responsibilities

Due to recent growth and development we have an opportunity for a Team Leader within our Event Management department. The role can be based from either our Colchester or Leamington Spa office with regular travel required to our other offices across the UK. Strong worldwide event management skills along with experience of managing a team is required to fulfil this role.

– Key point of contact for clients, suppliers and internal team members

– Line management and development of a team including appraisals and regular one to one’s

– Project Managing enquiries from initial request through to budgeting, creating proposals, presenting, delivery and accounting

– Onsite management of events

– Devising / Revising operational policies and procedures to increase performance levels

– Overseeing the events budget and identifying upsell opportunities

– To ensure all events invoicing and other aspects of finance is accurate and up to date.

– Working closely with the Sales team and Head of Events on client proposals and pitches

– Recruitment into the team as required

– Supplier selection suggestions and coordination including rate negotiations

– Work with all Gray Dawes offices and spend time in each, particularly where we have an events team

Additional Duties

– Building strong relationships with clients to ensure business retention

– Management reporting

– Managing client’s events business with a proactive and consultative approach 

– To ensure that all administration, both internal and external is of the highest standard.

– To identify and manage workload priorities within the team

– To develop and maintain effective working relationships with colleagues in the appropriate offices.

– To be able to work flexible hours and travel the world.

– To increase productivity.

– To ensure all events processes are accurate and up to date.

– To ensure all SLA’s and KPI’s are consistently met.

Competencies and Skills

– Strong administration, communication and attention to detail skills

– Comprehensive understanding of groups and events (operational and financial)

– Extensive venue and worldwide destination knowledge

– Ability to balance and effectively prioritise a heavy and pressured workload to meet deadlines

– Strong supplier network

– A creative approach to problem-solving

– Ability to identify upsell opportunities

– Comfortable and capable with negotiation

– Project management skills with the ability to handle multiple events at the same time

– Self-starter and team player

– A passion for the Events industry

– Can-do attitude

– Creative proposal writing abilities to showcase our services

– Onsite Event logistics management across the globe

– Experience of using event registration sites (Cvent and others) and event Apps

– A proven track record in delivering worldwide events projects

Experience and Qualifications

– Team Management including running appraisals and regular one to one’s

– Team Development and performance management

– Experience of using Cvent RFP tool

– A proven track record in delivering worldwide events projects
