Events Operations Manager

Amersham Office

Main Purpose

Providing a high touch service to all clients, offering a consultative and knowledgeable experience throughout the event booking and delivery process. Working closely with colleagues providing a proactive approach to workloads, ensuring a strong team spirit whilst sharing knowledge amongst the wider events team.

Key Responsibilities

Key point of contact for clients, suppliers and internal team members

Managing bookings from initial inquiry, budgeting, creating proposals, presenting and accounting

Booking of group reservations through Cvent, Galileo GDS and other systems

Onsite management of events

Liaising / Negotiating with events suppliers

Additional Duties

Building strong relationships with clients to ensure business retention.

To ensure that all administration, both internal and external is of the highest standard.

To identify and manage workload priorities.

To develop and maintain effective working relationships with colleagues in the appropriate offices.

To be able to work flexible hours and travel the world when necessary.

To increase productivity.

To ensure all events processes are accurate and up to date.

To ensure all SLA’s and KPI’s are consistently met.

Carry out any other role or task that is commensurate with the spirit and purpose of this job description.

Person Specification

CRITERIONESSENTIALDESIRABLE
Experience
  • A minimum of three years of corporate events experience is a must
  • Managing clients with a proactive and consultative approach
  • Creative proposal writing abilities to showcase our services
  • Onsite Event logistics management across the globe
  • Experience of using event registration sites and event Apps
  • A proven track record in delivering group projects
  • Experience in using the Microsoft Office suite, Excel and Word in particular
  • Experience of using Cvent RFP tool
  • Experience of automotive, retail, education, construction, pharmaceutical, public sector and fashion clients is desirable although you would work on a range of industry sectors in the UK and overseas
  • Working with a multi office/virtual
Skills/Knowledge
  • Strong administration, communication and attention to detail skills
  • Comprehensive understanding of groups and events (operational and financial)
  • Extensive venue and worldwide destination knowledge
  • Ability to balance and effectively prioritise a heavy and pressured workload to meet deadlines
  • Strong supplier network

  • Project management skills with the ability to handle multiple events at the same time
